The Manawatū Art Expo is our region’s premier arts event for artists and art aficionados. It takes place at the Palmerston North Conference and Function Centre every July, and is the perfect opportunity for artists and art lovers to connect!

All artists participating in Manawatū Art Expo are bound by these Terms and Conditions of Entry.

Payment of your registration fee serves as acceptance of all terms, and failure to comply may result in the withdrawal of your registration, with no refund issued.

 General Guidelines

  • Application Process - Selection for the Manawatū Art Expo is by application through the Feilding and District Art Society website. Inclusion in the Expo is not automatic; all applications will be reviewed by the organising committee.

  • Committee Discretion - The committee reserves the right to accept or decline any artist for any reason. Their decision is final, and they will not enter into discussion regarding any decisions.

  • Registration Categories & Fees - For those selected, there are three registration categories:

  • Non-Bay Artists: May submit 1–5 artworks, each up to 1m x 1m. Fees are $20 per artwork or $90 for 5 artworks.

  • Small Bay Artists: Allocated a booth of 8 panels (approx. 1.8m H x 3m W x 1.95m D) for a fixed fee of $200.

  • Large Bay Artists: Allocated a booth of 11 panels (approx. 1.8m H x 4.3m W x 3m D) for a fixed fee of $380.

  • In addition to Bay/Non-Bay fees, all artists must pay an artist registration fee of $40.

  • All registration fees include GST and are non-refundable.

  • Payment & Allocation - Once selected, artists will be invoiced to secure their place. Fees must be paid by the due date on the invoice. Non-payment may result in withdrawal and reallocation of space.

  • Bay and hanging spaces are allocated at the discretion of the organising committee. No discussions regarding space allocation will be entered into.

  • Additional Fees - Additional fees apply for special requests (e.g. plinths at $5 each or delivery of artworks) and are subject to availability. Plinths are not charged for Non-Bay Artists.

  • Insurance - Artists are encouraged to arrange their own insurance for artworks. The Feilding and District Art Society and event organisers accept no responsibility for damage or loss during installation, display, or de-installation.

  • Publicity - The organising committee reserves the right to reproduce images of registered artists’ work for publicity purposes, including those submitted as part of an application. Artists will not be remunerated for images used for promotional purposes.

 

Artwork Display and Presentation Guidelines

  • Expo Format - The Expo operates as a cash-and-carry sale, meaning artworks are removed from the venue as they are sold. However, artists must maintain exhibition-quality standards in both presentation and display.

  • Consistency - Artworks must closely resemble the images submitted during the application process in terms of style and quality.

  • All Artwork displayed must have been completed in the last 5 years.

  • Pricing - All artworks must be for sale, with no work priced under $100.

  • Presentation Requirements

    • Artworks must arrive ready for display and sale (dry, clean, and prepared for hanging).

    • Hanging works must have folding D-rings and cord attached.

    • Works on paper must be framed and mounted behind glass.

    • Frames must be of professional standard; second-hand or damaged frames are not accepted.

    • Works strung with wire, wool, cotton, string, or twine are not permitted.

  • Sculptures - Sculptures must be suitable for display on a plinth and cannot be placed directly on the floor unless approved by management.

    • Plinths will be provided for Non-Bay Artists.

    • Bay Artists must apply for plinths or provide their own, subject to availability and approval.

    • Any plinth supplied by the artist must meet professional standards and be accepted by Expo management.

  • Swing Tags - All artworks must have a swing tag attached to the hanging cord, written on firm card, and include:

    • Artist’s name

    • Artwork title

    • Medium

    • Price

  • Eligible Media - Accepted media include: watercolour, oil, acrylic, ink, pastel, pencil, charcoal, mixed media, and sculpture.

  • Ineligible Media - Photography, digital prints, computer-generated or AI work, furniture, functional homeware, handcrafts, textiles, and promotional merchandise are not permitted.

  • Safety & Installation - Artworks must be safe and easy to install. Pieces that are too heavy, unstable, or deemed a safety hazard will not be exhibited. This will be assessed on a case by case basis

  • Composite Works - Composite paintings (e.g., triptychs, diptychs) may only be displayed by Small or Large Bay Artists.

  • Organiser Discretion - All artworks will be reviewed by the Manawatū Art Expo organisers, who reserve the right to request removal of any artwork deemed unsuitable, inappropriate, or in breach of these conditions. Their decision is final.

  • Transport Costs - Artists are responsible for all costs associated with transporting artworks to and from the Expo, including the return or collection of unsold works (see ‘collection of unsold works’ below)

 

Copyright Guidelines

  • Copyright Compliance - All artworks submitted must comply with copyright laws.

  • Ownership - Copyright remains with the artist unless explicitly agreed otherwise at the time of sale.

  • Originality - Reproductions of other artists’ works, or artworks copied from books, magazines, or other published sources, are not permitted.

  • Tutor Demonstrations - Any class exercise or artwork created following a tutor’s demonstration is considered the tutor’s copyright and may not be submitted.

 

Delivery and Collection Guidelines

  • Non-Bay Artists - All artworks must be delivered to:
    Palmerston Conference and Function Centre, 354 Main Street, Palmerston North

    • Courier Deliveries: Accepted during business hours on Tuesday, July 14 and Wednesday, July 15 between 10:00 AM and 2:00 PM.

    • Personal Drop-Off: Artists delivering their own work may do so on Wednesday, July 15 between 10:00 AM and 2:00 PM.

  • Bay Artists (Large and Small)
    Bay artists are responsible for arranging transport, delivery, and installation of their own works.

    • Delivery and installation of bays may begin from 2:00 PM on Wednesday, July 15.

    • All Bays must be fully installed and of exhibition standard by 2:00 PM on Thursday, July 16.

  • Collection of Unsold Works

    • Unsold artworks (excluding courier returns) must be collected on Sunday, July 19 between 4:30 PM and 5:00 PM.

    • Works not collected by 5:00 PM will incur a $10 fee for packaging and transportation. These works will be available for collection from the Feilding Art Centre on the next opening day.

  • Courier Returns

    • Prepaid return courier stickers must be included with all couriered artworks.

    • Couriered works must be securely packaged in reusable packaging. Unsold works will be returned within 10 working days of the event’s completion.

  • Transport Service - The Feilding Art Centre offers transport of suitably packaged artworks to and from the Expo for $5 per artwork, per delivery ($10 if being delivered and returned). This must be booked in advance. Works will be checked for acceptance upon arrival at EXPO; if not accepted, the courier fee for return still applies.

  • Storage Restrictions
    No packaging materials or surplus artworks can be stored at the Conference and Function Centre.

 

Sales Guidelines

  • Exclusive Sales - All artworks will be sold exclusively through the Manawatū Art Expo. Private sales are not permitted.

  • Commission Structure - A 30% commission applies to all sales made by FADAS members, and a 40% commission applies to all sales by non-members during the Expo. Commission will be deducted from the final payment to artists.

  • Transport of Sold Works - Artists are not responsible for any costs associated with transporting sold works. This will be arranged by the buyer.

  • Space Reallocation - If an artist sells out of their work, the Expo organisers reserve the right to reclaim that artist’s space and use it for the display of other artworks.

  • Holds and Laybys - Holds and layby arrangements may be made only at the organisers’ discretion, with all payments processed through the Feilding and District Art Society Incorporated.

  • Payment Schedule - Artists will receive payment for all sales (less commission) by the 20th of August.

  • Tax Responsibilities - All taxation liabilities remain the responsibility of the individual artist.

 

Additional Terms and Conditions: Large and Small Bay Artists

  • Bay Sharing - Bays may be shared upon request: a small bay may be shared by up to two artists, and a large bay by up to three artists, if indicated on your application. Final allocations will be made at the organisers’ discretion.

  • Attendance & Demonstrations - Bay artists must manage their own bays and are encouraged to run demonstrations within their allocated space.

  • Assistants - Bay artists may delegate responsibility for manning their bay to one assistant, provided organisers are notified in advance. Neither Bay artists nor their approved assistant are required to pay for entry during the Expo; however, they must check in at the desk like a volunteer.

  • Artwork Submission & Labels - Bay artists are not required to submit an Artworks Submission Form but must prepare and display their own labels using the template provided by the Expo organisers.

  • Labels must be printed in black ink and match the details on the swing tags attached to the back of each artwork.

  • Bay Setup & Display - Bay artists are responsible for setting up their own bays. The organisers reserve the right to request removal or rearrangement of any display deemed unsuitable, at their sole discretion.

  • Bays must be fully utilised. The organisers reserve the right to reclaim whole or partial bays that appear underutilised.

  • Presentation - Artists must maintain exhibition-quality standards in both presentation and display. Art works must be hung on the walls using the chains and hooks provided. Art works should not be placed on easels or on the floor.

  • Display Restrictions - Artworks and demonstrations must remain within the allocated bay and must not obstruct other displays.

  • Replenishing Artwork - Artists may hang new work to replenish their display as pieces are sold however storage space will not be provided at the venue.

  • Pricing & Discounts - Artists may reduce prices or offer multi-buy discounts. These changes must be communicated to the organisers before completing the sale, and reflected on the swing tag, signed by the artist.

  • Artist Biography - Bay artists must display an up-to-date biography. This must be typed, printed, and professionally presented (laminated, framed, or mounted).

  • Wall Usage - Only artworks, labels, biographies, and business cards in holders (provided by organisers) may be placed on walls. No red dots, lists, or business cards stuck directly to walls.

  • Holds - Any artworks placed on hold must be taken to the Sales Desk for processing.

  • Preview Evening - Bay Artists are required to attend the Preview Evening (no ticket is necessary) and are expected to manage their own bays during the event. Helpers for artists will only be considered as volunteers in exceptional circumstances.

 

Additional Terms and Conditions: Non-Bay Artists

  • Artwork Submission Form - Upon registration, Non-Bay artists will receive an Artwork Submission Form. This form must be completed with details of all works to be displayed and returned by 5:00 PM on Monday, June 16 to info@feildingartsociety.com.

  • Amendments & Sales - Once submitted, the Artwork Submission Form cannot be amended. Private sales of these works prior to the Expo are not permitted.

  • Complimentary Entry - Non-Bay artists are entitled to one complimentary ticket for their own entry to the venue during the Expo.
